This Privacy Policy describes how Anchor Point Agency AI LLC ("we," "our," or "Anchor Point") collects, uses, shares, and protects information when you use our website (anchorpointagency.ai) and our services (the "Service"). It also describes your rights regarding that information.

This Privacy Policy covers two distinct groups:
(A) Visitors to our website (anchorpointagency.ai) — anyone who browses, fills out a form, books a demo, or interacts with our website chat.
(B) End-users of our customers — when our customer (a trades operator) uses our AI receptionist service to handle their incoming calls, the people calling their business become indirectly subject to this policy because we process their call data on behalf of our customer.
Different sections apply differently to these groups. We've labeled each section accordingly.
2.1 From website visitors (Group A). When you visit our website we automatically collect browser and device information, IP address, pages viewed, and referrer URL. When you fill out a form or book a demo we also collect name, email, phone number, business name, information you share during the demo conversation (recorded with your consent), and calendar booking metadata. When you use our website chat, we collect messages you send and a browser fingerprint for session continuity (deleted after 7 days of inactivity).
2.2 From customers (trades operators who subscribe). When a customer signs up for the Service we collect contact information (name, email, phone, business name, business address), business details (services offered, hours, escalation preferences, knowledge base content), payment information (handled by Stripe; we don't store card numbers), and communication history.
2.3 From end-users of our customers (Group B — indirect). When a person calls our customer's business and the call is handled by the AI receptionist, we process call audio (recorded for the duration of the call), the call transcript, the caller phone number transmitted by the phone network, information the caller provides during the call (name, address, problem description, etc.), and outcome metadata (was the call routed to a booking, an escalation, etc.).
Important: this processing occurs at our customer's direction. Our customer is the data controller; we are the data processor. Our customer's privacy practices govern how that data is ultimately used.
3.1 Website visitors. We use information to respond to your inquiry, schedule and conduct your demo, send marketing communications (you can opt out at any time), improve our website and service offerings, and comply with legal obligations.
3.2 Customers. We use customer information to provide and operate the Service, bill and collect payment, provide customer support, send service-related communications (operational, not marketing), improve our Service (with appropriate anonymization), and comply with legal obligations.
3.3 End-users of customers. We process call data to operate the AI receptionist service for our customer (the call's recipient), generate the call transcript and structured intake the customer needs, train, test, and improve our AI prompts (using anonymized data only), and comply with legal obligations.
We do NOT sell your data, use call recordings to train third-party AI models, share your data with our customer's competitors, or match your data across multiple Anchor Point customers (each customer's data is logically isolated).
We share information only as follows:
4.1 With service providers. We use third-party service providers ("subprocessors") to operate the Service, including providers for voice AI infrastructure, CRM and pipeline management, SMS and phone connectivity, payment processing, email delivery, and cloud hosting and DNS. A current list of subprocessors is available upon request to [email protected]. Each subprocessor is bound by contractual obligations to handle data appropriately.
4.2 With our customers (regarding their end-users). When a person calls a business that uses our Service, the call data is shared with that business. This is the entire purpose of the Service — our customer is receiving the call.
4.3 For legal reasons. We may disclose information when required by a subpoena, court order, or other legal process; a request from law enforcement (we'll notify the affected party where lawful); or for the investigation or prevention of fraud, security issues, or illegal activity.
4.4 In connection with business transactions. If Anchor Point is acquired or merges with another company, customer information may transfer to the new entity. The new entity will be bound by the privacy commitments described here unless you're notified of changes.
4.5 With your consent. For any other sharing not described above, we will request your explicit consent.
5.1 Website visitor data. Form submissions and demo booking data are retained for 24 months after last interaction, then anonymized. Website chat conversations are retained for 12 months. Analytics data is retained for 12 months in identifiable form, then aggregated.
5.2 Customer data. Active customer accounts are retained for the duration of the customer relationship plus 7 years (for accounting and legal compliance). For cancelled accounts, customer-controlled call recordings are exported within 7 days of cancellation request and subsequently deleted from our active systems within 30 days. Billing records are retained for 7 years (US tax requirement).
5.3 End-user call data. Call recordings are retained for 12 months unless our customer specifies a different retention period. Call transcripts are retained for 24 months. Anonymized aggregated data may be retained indefinitely for service improvement.
6.1 General rights (all users). You have the right to access your personal information we hold, correct inaccurate information, delete your information (subject to retention requirements above), object to specific uses (e.g., marketing), and receive a copy of your data in a portable format. To exercise any of these rights, email [email protected]. We respond to verified requests within 30 days.
6.2 California residents (CCPA). California residents additionally have the right to know what personal information is collected, used, shared, or sold, opt out of the sale of personal information (we don't sell information — this is automatically respected), and non-discrimination for exercising privacy rights. Submit CCPA requests via [email protected].
6.3 European Union / UK residents (GDPR). EU and UK residents have the rights described in 6.1 plus the right to lodge a complaint with a supervisory authority, withdraw consent at any time (where consent is the legal basis), and restrict processing in certain circumstances. Anchor Point's processing of EU/UK personal data is based on performance of a contract (when you're our customer), legitimate interests (operating the Service, improving it), and consent (where applicable, e.g., marketing).
6.4 End-users of customer calls (indirect users). If you've called one of our customers and your data was processed by our AI receptionist, your rights are governed primarily by our customer's privacy practices (they're the data controller). To exercise rights against the data, contact our customer (the business you called) directly. If they direct you to us, we'll cooperate to fulfill the request.
We use commercially reasonable security measures to protect data, including encryption in transit (TLS 1.2+) for all data movement, encryption at rest for stored call recordings, transcripts, and customer data, access controls restricting employee/contractor access to information needed for their role, regular security audits of our infrastructure providers, and breach notification procedures in line with applicable law.
No security system is perfect. We cannot guarantee absolute security. In the event of a data breach affecting your information, we will notify you in line with applicable legal requirements.
Our website uses strictly necessary cookies (for site functionality; cannot be disabled), analytics cookies (to understand site usage; can be disabled in your browser settings), and functional cookies (to remember preferences).
We do NOT use third-party advertising cookies, cross-site tracking pixels, or social media tracking pixels (the share buttons on our blog don't load until you click them). You can control cookies through your browser settings.
Our Service is not intended for users under 18. We do not knowingly collect information from children. If you believe we have collected information from a child, contact [email protected] and we will delete it.
Anchor Point is based in the United States. Data is processed and stored in the US. If you're located outside the US, your data is transferred to and processed in the US. For EU/UK users, we rely on Standard Contractual Clauses as the legal mechanism for cross-border transfers.
When a person calls a business that uses our Service, the call may be recorded. Federal and state laws govern call recording disclosure. We comply with all applicable laws.
In one-party consent states (the majority of US states), the business's consent (as our customer) is sufficient. In two-party (or all-party) consent states (CA, CT, FL, IL, MD, MA, MT, NH, PA, WA), the AI receptionist will disclose the recording at the start of the call, in compliance with state law.
This section describes our practices specifically regarding SMS (text message) communications between Anchor Point Agency AI LLC and individuals who opt in to receive SMS messages.
11.5.1 Information collected for SMS. When you opt in to receive SMS messages from Anchor Point, we collect your mobile phone number, the date and time of opt-in, the source of opt-in (which form or page you used), the type of consent granted (transactional, marketing, or both), and a record of all SMS messages we send to and receive from you.
11.5.2 How SMS data is used. We use your mobile number and consent record only to send the message types you opted in for: transactional messages (demo confirmations, appointment reminders, account notifications, support replies) and/or marketing messages (special offers, product updates, promotions, event announcements). Message frequency varies depending on the message types you selected. Standard message and data rates from your wireless carrier apply to every message you send and receive.
11.5.3 SMS opt-in details. SMS opt-in is obtained via explicit, independent checkbox consent on our Demo Request form at anchorpointagency.ai/demo. Two separate checkboxes are presented — one for transactional messages and one for marketing messages. Each checkbox is opt-in only (not pre-checked) and each represents a separate, distinct consent. You may opt into one, both, or neither. SMS consent is never bundled with any other agreement and is never required as a condition of purchase or service.
11.5.4 SMS user rights and how to manage your consent. You may opt out of SMS communications at any time by replying STOP to any message we send. You will receive one final confirmation message acknowledging your opt-out, after which you will not receive further messages. Reply HELP to any message to receive a help reply with our support contact information. You may also email [email protected] at any time to opt out, update your mobile number, or request deletion of your SMS opt-in record.
11.5.5 SMS data security practices. Mobile numbers and SMS message content are stored in encrypted form (encryption in transit via TLS 1.2+ and encryption at rest in our SMS provider's compliant infrastructure). Access is restricted to staff and contractors with a documented operational need. SMS opt-in records are retained for as long as you remain opted in, plus 4 years after opt-out for compliance audit purposes.
11.5.6 SMS cookie and tracking practices. We do not use cookies or web-based tracking pixels in SMS messages themselves. We may use anonymous click-tracking on links embedded in SMS for delivery analytics. We do not use SMS engagement data for behavioral advertising or for any purpose other than operating and improving the SMS program.
11.5.7 No sharing of SMS opt-in data with third parties for marketing. Mobile opt-in data and SMS consent are not shared with affiliates or third parties for marketing purposes. We do not sell, rent, lease, or otherwise disclose your mobile number or SMS consent record to any third party for their own marketing use. Mobile information that we share with our SMS service provider subprocessors is used only to deliver messages on our behalf, and those subprocessors are contractually prohibited from using your information for any other purpose.
We may update this Privacy Policy from time to time. The "Last Updated" date at the top will reflect the most recent revision. For material changes, we will notify you by posting a prominent notice on our website, emailing customers (for customer-impacting changes), and asking for re-acceptance of the policy where legally required. Your continued use after material changes constitutes acceptance.
